QuickBooks Online’s new Sales Tax Liability report pulls together everything you need to file: tax jurisdictions, taxable versus non-taxable sales, the rate charged, and the tax actually collected, with drilldowns so you can click into any number and see exactly which transactions built it. You can pivot the whole report by jurisdiction or by rate, which matters the second you’re selling across county lines or running more than one location.

On paper, that should make quarterly filing close to painless.

The Catch: It’s Only as Good as What Your POS Hands Over

If that’s how your feed is set up, the new Sales Tax Liability report doesn’t have much to work with. It can only break out what’s actually sitting in QuickBooks by jurisdiction and rate, and a lumped journal entry doesn’t carry that detail. You open the shiny new report expecting clarity and find the same single number you started with.

What’s actually new

As of this month, QuickBooks now lets you create and send estimates, invoices, and payment links directly from a Claude or ChatGPT chat. You describe the job — “invoice Riverside Catering $1,400 for Friday’s event, due in 15 days” — and it drafts the invoice with a “Pay Now” link built in. Nothing goes out the door without you approving it first, and once the customer pays, the transaction records itself straight back into QuickBooks. No re-typing it in Monday morning, no forgetting which jobs still need billing.

This isn’t about your everyday counter or register sales — those still run through your POS the way they always have. This is for the business that happens around the register: catering, private events, custom orders, wholesale accounts, anything where you’re the one who has to remember to send the bill.

Get paid upfront while your customer pays over time

There’s a second piece of news worth knowing about. Intuit also just announced a multi-year partnership with Affirm to build buy-now-pay-later directly into QuickBooks Payments. In the coming months, eligible U.S. businesses will be able to offer Affirm as a payment option on invoices and estimates — plans as low as 0% APR, no late fees for the customer. The part that matters most for you: you still get paid in full, upfront. Affirm handles the underwriting and takes on the risk if the customer misses a payment, not you.

For a $1,400 catering order or a big custom piece, that’s a way to make the bill easier for a customer to say yes to without you carrying any of that risk yourself or waiting any longer to get paid. Per QuickBooks’ August 2026 product update, businesses can already show the Affirm pre-qualification option on an estimate, so a customer can see if they qualify before the job’s even confirmed.

Why the timing matters for cash flow

The lag between “job’s done” and “invoice sent” is one of the quietest cash flow leaks in a retail or restaurant business, because it’s invisible until you actually look for it. These are available natively in QuickBooks Plus and Advanced, and as a $40/month add-on for Simple Start and Essentials.

Why this is a cash flow issue, not just an inventory issue

You can manage accounts payable, schedule payments, and reconcile the data all in one place, without hopping over to your bank’s site or app. Standard ACH is free; next-day ACH and paper checks still carry a fee, so the savings show up when you can plan a few days ahead on non-urgent bills.
